SHA Hockey Club Policy: Use of Third-Party Instructors and Skills Coaches

 To ensure consistency, transparency, and compliance with governing regulations, the following policy outlines the requirements and procedures for Teams within the SHA Hockey Club (Scarborough Ice Raiders) when engaging Third Party Instructors and/or Skills Coaches.

1. OHF Registration Requirement

All Third-Party Instructors or Skills Coaches must be registered and approved by the Ontario Hockey Federation (OHF) prior to being contracted by any Team affiliated with the SHA Hockey Club.

2. Club Approval Process

Once OHF approval has been secured, the Team must submit a formal request to the SHA Hockey Club Board of Directors for approval.

  • Upon approval, the Third-Party Instructor will be registered with the Club’s Registrar and permitted to work with the Team.
  • No engagement may begin until written approval is confirmed by the Club.

3. Conflict of Interest and Tampering Prevention

If a proposed Third-Party Instructor is concurrently registered as a Team Official with another OHF-affiliated organization during the current playing season, the Board of Directors reserves the sole right to approve or deny their involvement with the Team.

  • This safeguard is in place to minimize the risk of tampering or inappropriate influence across organizations.

4. Financial Documentation and Receipts

All payments made to approved Third Party Instructors must be supported by official receipts issued on the instructor’s business letterhead.

  • These receipts are required for accurate financial reporting and for the Team’s budget to be approved by the Club.

5. Disciplinary Consequences

Failure to comply with any aspect of this policy will result in disciplinary action:

  • First Offense: 5-game suspension for the responsible Coaching Staff member.
  • Second Offense: Permanent removal of the Coaching Staff member from the SHA Hockey Club program.
